  • Focus on Planning

  • Editing is Last

  • Active Voice

  • Avoid Jargon

With the formalities out of the way, let’s dive into the meat of the discussion, starting with Audience Knowledge. You have to center your writing to be about the reader; make them your focus. 

  1. Focus on Planning

Spend at least 50% of your time planning a business document or email.

  1. Drafting is Easy

20% of your time to come up with a hastily-formulated piece; something that’s at least readable shouldn’t be impossible.

  1. Editing is Last

30% of the time would go to editing. Pruning and refining what you’ve already written shouldn’t take longer than actually writing the piece.

  1. Paragraphs Seven Lines or Less

Eight is already too much at this point.

  1. Make it Easy for Readers to Scan

Make effective use of heading, numbered, and bulleted lists. Emphasize important sections and add a white background to your page layout.

  1. Verbs = Energy

Action words add, well, action. Throw in some punches for your statements.

  1. Don’t Start Sentences with ‘There Is’ or ‘There Are’

Cut out the fluff and get to the main subject and start there.

  1. Active Voice is Better than Passive Voice

Active has always outperformed passive, except maybe in investments. Go with the more dynamic active voice for better engagement.

  1. Avoid Jargon 

Avoid using heavily repeated and ‘mainstream’ words. 

  1. Avoid Exclusionary Words

Use neutral job titles that don’t suggest a specific gender. Something ‘Unise’ will work great here.                             

  1. Use a One-Sentence Paragraph

Use empathic, accurate, and correct one-sentence paragraphs.

  1. Own Your Work

‘I’ is the most important noun you can use here, just don’t forget to continuously sprinkle humility every now and then. 

  1. Double Check Punctuation

Can’t have a good-looking site with out-of-place punctuations. If you’re going to sound like a pro, then you should look like one too.

  1. Use the Oxford Comma

Has a bit more ‘Oomph’ than the standard comma, perfect for business writers 

  1. Avoid Redundancy

None of that ‘two of the both of you’ crud here.

  1. Use Staccato Short Words to Grab Attention

One or Two sentences made up completely of single-syllable words make for an extremely quick read. 

  1. Find an Editor

If you can’t do it yet, then find someone who can, as well as teach you.

  1. Start Where It’s Easiest

Start where it’s easiest for you, be it in the middle or end of a paragraph.
